What Mindtote collects, what it does not, and where everything lives.
Your account
Signing in with Apple or Google writes one row on our server: the provider’s own id for you, which provider vouched for you, and — only if they hand them over — your name and email. No password is ever stored. Apple often supplies a relay address rather than your real one, which works fine here. Deleting your account in Settings removes the row.
Where your tasks live
On your phone. Your list, your times, and your settings are stored in the app’s own storage and are not uploaded anywhere by default.
Your calendar
If you connect it, Mindtote reads the calendars already on your phone — whichever accounts you have added under iOS Settings, including Google, iCloud and work accounts. It reads them only to draw your day, never writes to them, and never sends them anywhere: your events are not uploaded, and we cannot see them. Turn it off in Settings, or revoke access entirely in iOS Settings.
Speech
Dictation uses the speech recogniser built into your phone, and prefers the on-device engine where the hardware supports it. When the system falls back to Apple’s network recognition, Apple’s own privacy terms apply to that audio.
The AI part
When you dictate, the text of what you said is sent to our server and on to a language model, which turns it into tasks and works out when they are due. Only that text is sent — never your calendar, and never your existing list. Nothing is used to train a model.
What we do not do
No advertising, no selling of data, no third-party analytics in this build, and no reading of your list or your calendar by a person.
Deleting everything
Delete your account in Settings to remove the server-side record. Deleting the app removes the list held on your device. Email us and we will confirm both.
